Here are three content management systems that you need in your business, with a content strategy to help you need to avoid burnout.
Also, to help you stay on track with the goals that you have in your business related to content. Plus a BONUS system I highly recommend (check it out at the end).
So, if you are trying to sell digital products, or physical products, or your services, these systems are ultimately going to fuel your content strategy and keep you on task.
The first content system you need in your business is a place to brainstorm in-house all of your ideas out of your brain. Don’t use or rely on your brain to remember everything that you want to create in your business.
Use a system like what I have here in ClickUp that is just a place for you to house your ideas. You can add a task, add an idea, or add some notes to the idea. You can even go as far as what I do and have a place where you just drop sounds.
I even have a doc inside my marketing list where I drop TikTok sounds, Instagram sounds, or reels that I think would be good to remake in my own voice with my own take.
So, have a brainstorming space where you can put all those ideas. Even if it is five in the afternoon or 1 am, and you have a spark, you can put it there.

Here’s a bonus to power up this content brainstorming space. If you have an audience and want your audience to participate in your brainstorming, then you can attach a form as I have done in my ClickUp space and publicly share it with the world.
I have my YouTube suggestion box in the description of every video on YouTube. You could go fill out this form. It’s four or five simple questions. In that form, you can tell me what you want to learn.
You could also recreate this for your business and attach it to your content or send it to your email list. Then people in your audience can help you brainstorm what you create next. You are going to house all of this in one location.

The second of your content management system you need in your business is your production workflow. It does not matter if you have a YouTube channel, a blog, or both, but you need a place to go through all the steps to produce your content effectively.
You have created the piece of content and have now put it on your blog. All images for all places are made, all videos for all the platforms are made, and you’ve written the email. You have done all the things.
That way, when you hit publish, not only have you put all the work into creating this fabulous piece of content, but you have also amplified it to the degree that makes you happy on all the platforms that make you happy. I suggest having a content production workflow.

Here’s mine, and I initially adopted this from Layla at Processdriven. I saw her video back in 2021 and quickly absorbed the content. I loved her process so much that I adapted it and have readapted it over time. So, I made it work for me, and you could do the same. You could recreate the same system in any other project management tool like Notion, Asana, and Trello.
Ultimately the purpose of this particular list in ClickUp is to ensure that all of the boxes are checked when it comes to producing one high-quality piece of content that makes it through the entire workflow from outlining to amplification. And my audience is getting high-quality content from me.
System number three of needed content management systems is your content library. Without a place to house all the long-form content you have created, chances are you’re hitting publish and running the other way. I do not want you to do that anymore. You have a content strategy; you create all of this content; people need to see it more than once.
The purpose of a content library is for you to stay on top of any updates that need to be made, as well as continually amplify that content through:
You can have all of this content in one place; that way, you know what it is. Mine, of course, is in ClickUp. My entire business is powered by ClickUp. However, you need a content library, and you could recreate this again in Notion, Asana, or Trello; it doesn’t matter.

You could recreate this in a spreadsheet if you wanted to. We’ll get to that in a minute. I am selling a version of that spreadsheet that I have used for many years. It’s called the Pinterest System. You probably heard me talk about it before if you are returning viewer. If you’re not, welcome.

Here’s a bonus fourth in my content management systems that I think you should use if you are creating short-form video content. I like to call it a repurposing system. I only use this for short-form video content. So I create first on TikTok and then everything else. All the other short-form video platforms, including YouTube, come behind it, usually about a week later.
I use a tool called Repurpose.io. As soon as I publish a video on TikTok, it removes the watermark and saves it in Google Drive. I have paired it with Zapier, for which I have paid plan, and those videos go into Google Drive.
Then Zapier zaps that into a task into this repurposing list, and this is what it looks like. It’s super simple.
That’s mine. You can edit yours to be whatever you want. This is a ClickUp list, and I know any content that goes in there needs to be filtered. Then I can quickly download it and schedule it to the other platforms.
I do a week’s worth, sometimes two weeks’ worth, of repurposing in about an hour or an hour and a half every week. This way, I know the content from my YouTube channel that went live last week; now, people on other platforms are hearing about that this week.
So that’s your fourth bonus system. It is not a must, but it is nice to have, especially if you’re creating short-form video content that you want people to see more than once.
